Google Workspace

The six services
Google Workspace in anymize is one connection with six cards. You sign in to Google once, then you decide per service whether the assistant may use it.
| Service | What the assistant can do with it |
|---|---|
| Gmail | Search and read emails, send a mail with your approval, fetch attachments into your storage. |
| Google Calendar | Read events in a time range and, with your approval, create a new event. |
| Google Drive | Search files and read their content, including PDF, Word, Excel and PowerPoint. Read only. |
| Google Docs | Read an existing document and, with your approval, create a new formatted document. |
| Google Sheets | Read spreadsheets, create a new one, append a row to an existing one. |
| Google Slides | Read a presentation's text and, with your approval, create a new presentation. |
The assistant cannot change or delete in any of these services. There is no command for that here. It creates new items or appends, nothing more.
One login for everything
Google checks access rights per project, not per product. That is why we have exactly one Google sign-in for the whole suite. You sign in to Google once; we never get your password, only a key you can revoke anytime.
- 01In the left sidebar open Apps and then the Connectors area.
- 02Find the Google Workspace tile. With "Connect all apps" you take the whole suite, or you click only the card you need, for example Gmail.
- 03You land on the Google sign-in page and choose your account. Google shows what anymize may access.
- 04Confirm, back in anymize. Connected cards now sit at the top under "Connected".
- 05If you want to add another service later, just click it. Rights already granted stay; only the new one is added.
If you have several Google accounts, for example a firm and a club account, you can connect a second one via "Add account". In chat you then say which is meant.
Can I turn off individual areas?
Yes, and that is the most important switch on this page. Each card has under Manage an Access section with a switch per area. If an area is off, the related tools do not exist for the assistant at all. So it cannot use them by accident either.
- 01Go to Apps, then Connectors, and click Manage on the card.
- 02In the Access section you see the areas, for example Email, Calendar, Files.
- 03Turn off what the assistant should not see. The change applies from the next chat.
- Typical law-firm case: Calendar on, Email off. The assistant schedules events but sees no correspondence.
- Typical HR case: Files on, Email off. It reads documents but not the mailbox.
- If you want to end everything at once, disconnect. Access is gone immediately.
In a team this can be made binding: an admin sets in the Governance Center which connectors are allowed at all. No one can override that individually.
What does the AI model see of my Google data?
Placeholders only. When you ask about a mail or a file, a shielded research assistant in the EU fetches the real content and writes a short summary from it. That summary runs through anonymization before it goes to the large model: client names, addresses and case numbers become placeholders.
The research assistant gets read tools only. That is not a request in the prompt but fixed in program code: anything that could change something is taken away from it beforehand. A mail with a hidden instruction therefore cannot make it send anything.
If anonymization cannot work right now, the summary is not passed on. Better no answer than clear text to a model.
What the assistant may create
In Google Workspace there are exactly six actions with effect. Each shows you an approval card in chat first with the finished content. You read, correct in the card if needed, tick the box and confirm. Only then does something happen.
| Action | Where |
|---|---|
| Send email | Gmail |
| Save attachment to anymize storage | Gmail |
| Create event | Google Calendar |
| Create document | Google Docs |
| Create sheet and append a row | Google Sheets |
| Create presentation | Google Slides |
If you click Cancel, nothing happened. The assistant only gets the feedback that you declined and continues without the action.
