What a knowledge base is

A knowledge base is a collection of documents that anymize prepares once and then keeps searchable. When you ask a question in chat, the AI fetches only the passages that actually match the question and answers on that basis.

Typical cases: your firm handbook, product documentation, a case-law archive, the files for a client. Anything you refer to across many conversations.

When it is better than an attachment

Modern models can read a lot of text at once. Even so, “dump everything into the chat” is rarely the better choice.

Rule of thumb: a document you open for a single analysis belongs in the chat. Everything you need again and again belongs in a knowledge base.

How you create one

  1. 01Go to “Knowledge bases” in the sidebar and create a new one.
  2. 02Give it a name that colleagues will also understand, for example “Client Meyer” instead of “KB 3”.
  3. 03Upload documents, drop whole folders in, or pull files from a connected service.
  4. 04Wait a moment. anymize reads each document, splits it into sections and makes it searchable. With many pages that takes a little time.

On upload you decide whether the documents should be anonymized. If they are, the base only stores the version with placeholders. Your answer still contains the original data, because anymize puts them back at the end.

You can add or replace documents at any time. New files are prepared without you having to set anything up again.

Switch it on in chat

Each of your knowledge bases appears in chat as a switch. One click, and from the next question the AI pulls matching passages from it.

  • Several bases can be on at once, for example “Client Meyer” and “Firm standards”.
  • In a project you attach the matching bases once. Every new chat in the project has them on automatically.
  • Over the API you query a knowledge base directly, with source citations and optionally with a finished answer.

If no base is switched on, the AI answers as usual. You add knowledge, you do not take anything away.

Where the answer comes from

Answers from a knowledge base show their origin. For every passage used you see which document it came from, and a click takes you to the source.

This is where trust is decided: you do not have to believe the summary, you can read it back. For anonymized documents you see the protected spots as boxes in the source; the answer itself contains your original data.

If the AI finds nothing that fits, it says so. An empty source list is a hint that the document is missing or worded differently from your question.
