DocumentationCollaboration and sharing
Share knowledge bases
Invite people or teammates into a knowledge base, assign Viewer or Editor rights, and build shared AI context for a matter together.
4 Min

Where you share
Open the knowledge base (sidebar Knowledge bases, then the entry). On the right or side panel you see Share: role picker, Invite and the list of people with rights.
- 01Open the knowledge base.
- 02Choose a role: Viewer or Editor.
- 03Enter the person's email and tap Invite.
- 04Optionally expand a row to set rights individually.
Which role for what
| Role | Useful when |
|---|---|
| Viewer | Someone should use the AI context but not change documents, for example a client. |
| Editor | Colleagues should upload documents and maintain the collection. |
| Owner | You (or whoever created the KB): sharing, delete, roles. |
Editors only invite viewers. Rights do not escalate on their own.
Team plan: groups and rules
On Team plan you can tie shares to the group structure and set rules in Governance Center, for example Do not share knowledge bases for a group. Existing access then remains; new shares are blocked.
For mandate work: one KB per client, shared only with the responsible group. Need-to-know stays enforceable.
What the other person sees
After accepting, the knowledge base appears in their list. In chat they can attach the KB and ask questions. Documents stay in anymize; anonymization applies as usual before anything reaches a model.
Revoke access
As owner you remove people in the same Share list. Access ends immediately. There are no released copies in foreign tools you can no longer control.
